The Role

We are seeking a highly motivated and detail-oriented Legal Operations Coordinator to join our busy and growing Legal team in Vancouver. This position is responsible for delivering high-quality, timely, and accurate administrative and project-related support to ensure seamless operations. The position will work closely with the Legal team and business stakeholders at various levels of the company. This role will have responsibility for a variety of legal tasks and projects, and provide administrative support to our legal operations, regulatory licensing, corporate, and commercial functions. We are looking for a forward-thinking individual who is excited about the potential of new technologies, including AI, to transform the delivery of legal services and drive efficiency across the team The initial and primary responsibilities on the administrative side are a generalist role that involves managing and supporting projects across the full range of subject matter supported by the Legal team, including Commercial Contracts and Regulatory Licensing. 

Organization is essential for this position and we are looking for a self-starter who can manage changing priorities, has the ability to multitask on a wide variety of projects, possesses exceptional attention to detail, and is eager to learn the ins and outs of our company and drive strategic legal efforts to grow and protect our business.

Key Responsibilities

  • Supporting lawyers and paralegals in managing agendas, organizing meetings, booking appointments, and leveraging Ai to handle other administrative tasks for the Legal team.
  • Working closely with the Finance department to track legal spending, manage accruals, and external counsel invoicing, including ownership of all external counsel engagements and billing using our procurement platform.
  • Support legal operations through the development, management, administration, and improvement of various legal team processes as well as the adoption and enablement of new technology, including AI advancements.
  • Managing and supporting projects across a full range of subject matter supported by the legal team.
  • Developing and researching AI technologies to support the Legal team.
  • Planning Legal team events, and creating itineraries.
  • Supporting all facets of contract management processes and the associated tools. This encompasses the entire lifecycle of a contract, from initial drafting and negotiation through to final execution. Key areas of focus include facilitating efficient contract signing, and levering Ai to ensure meticulous and compliant contract filing, and providing comprehensive reporting capabilities.
  • Supporting the Licensing Team working with key stakeholders to ensure timely submission of all license applications in new jurisdictions and renewals.
  • Supporting the Licensing team with keeping entity and key person information up to date, and ensuring material updates are submitted to regulators as required, in accordance with U.S. gaming regulatory frameworks. This includes understanding jurisdiction-specific obligations for maintaining active gaming licenses, such as reporting changes in corporate structure, executive roles, or ownership, and submitting timely disclosures to regulatory agencies.
  • Assisting with managing company business license filings and annual reports
  • Work within Legal and Licensing teams on other projects, including cross-team projects, as needed
  • Some contract reviews, like NDAs; supporting playbooks, checklists, legal knowledge resources
  • And any other duties and responsibilities as may be assigned to you by the Company, consistent with your position.

Who You Are

  • A degree or diploma in Legal Administration, Paralegal studies, or a Bachelor's Degree in a related field, or other relevant college/university training.
  • 3+ years of experience working for a reputable law firm (ideally in a corporate/commercial practice) and/or in-house legal department is desired, but not essential
  • Ability to grasp and interpret legal documents
  • A technology-forward mindset with a demonstrated passion for legal innovation. Practical experience with AI tools in a legal context, or a strong, demonstrable desire to learn and apply them, is essential.
  • Exceptional organizational skills and strict attention to detail
  • Self-motivated with a high degree of accountability
  • Resourceful, process-oriented, and solutions-oriented
  • Excellent analytical, problem-solving, and communication skills
  • Ability to work in a team environment, perform under pressure, and multi-task on a wide variety of projects with minimal supervision
  • Proficient in word processing, spreadsheets, and presentation tools; previous experience working with Ironclad, Google Workspace, Confluence, and Jira is an asset. Familiarity with AI-driven legal technologies for contract analysis, or legal research is highly desirable.
  • Tact, integrity, and discretion; ability to work with and process confidential information with sensitivity

Salary Range

  • 60000 - 82500 CAD, per-year-salary
  • Our compensation reflects the cost of labor across several Global markets. The salary for this position ranges from $60,000/year up to $82,500/year. Pay is based on several factors evaluated throughout the interview, including market location, job-related knowledge, skills, and experience. At GeoComply, our salary bands are crafted with purpose.
